Admin Guide: Managing “Lost Reasons” in Outperform
Access Level: Admin Only
Lost reasons help track why potential deals were not closed. Because changing these settings impacts historical sales reports, follow these instructions carefully.
⚠️ Important Rules Before You Begin
- Check for Duplicates First: Always review the existing list before creating a new reason to avoid confusing sales agents with duplicate or similar options (e.g., creating “Too Expensive” when “Cost” already exists).
- Editing Affects Past Deals: When you edit the name of an existing lost reason, all past deals previously marked with that reason will immediately update to the new title.
- Do NOT Delete Existing Reasons: Avoid clicking the trash icon. Deleting a lost reason can break historical reporting data on past deals. If a reason is obsolete, coordinate with management before taking action
How to Access Lost Reason Settings
- Click on the Settings icon (gear icon) in the navigation menu.
- In the search bar on the left sidebar, type
lost reason. - Click on
Lost Reason.
How to Add a New Lost Reason
- Search Existing Records: Look at the current list or use the search bar on the top-right to ensure the reason does not already exist.
- Click Add: Click the blue
+ Add Lost Reasonbutton at the top-left. - Enter Title: In the pop-up modal, enter the clear, concise title in the Lost Reason Title field (e.g., Unresponsive Lead, Competitor Pricing).
- Save: Click Save / Submit to add it to your team’s active dropdown options.
How to Edit an Existing Lost Reason
- Locate the reason you want to modify from the table.
- Under the Action column on the right, click the Pencil (Edit) icon.
- In the Edit Lost Reason pop-up, update the text in the Lost Reason Title field.
- Confirm & Save: Click Save.
Reminder: Once saved, every past and current deal associated with this reason will automatically display the new title in dashboards and reports.
